Choose a stable rule to automate
Start with a process staff can explain consistently: what triggers it, what conditions must hold and what outcome is expected. If people disagree about the rule, resolve that before translating it into Flow. Automation can make a repeated action faster, but it cannot decide an undefined business policy.
Check the data available at the trigger
Confirm that the trigger and connected actions expose the information the decision needs. Distinguish data present immediately from data added later by another system. Use a deliberate waiting or recheck approach where appropriate rather than assuming every related record is complete at the first event.
Make repeated runs safe
Review whether running the same workflow twice creates duplicate notes, notifications or external actions. Use conditions and identifiers that support the intended behaviour. Test the path where an earlier step succeeds but a later step fails, and decide how staff will resume without repeating an irreversible action.
Give merchants a visible operating record
Name workflows by purpose and document their triggers, exclusions and owner. Use execution history and useful diagnostic output to investigate unexpected results. Review workflows after app or process changes so an old automation does not continue making decisions from assumptions the business has retired.
