Problems this solves

The difficult part is deciding which system owns each piece of data.

An API connection is a contract between systems. The important decisions are which records move, which system can change them and how staff discover a failed transfer. A narrow integration can connect one workflow; coordinating the entire operational stack requires a broader systems assessment. An order export, for instance, needs more than a successful request: staff need to know whether it was accepted, rejected or already processed. We define identifiers, status transitions and reconciliation checks so the receiving team can investigate exceptions without comparing records manually after every release.

Define which system owns each field

A Shopify API integration needs an agreed source of truth before it needs more code. We map products, identifiers, inventory locations, customers, orders and fulfilment data to the systems allowed to change them. The specification records update direction, required timing and how conflicts are resolved so two systems do not continually overwrite each other.

Existing middleware may suit a standard connector with maintainable mappings. A custom app or service is considered when business rules, exception handling or user controls exceed that fit. See ERP, CRM and WMS integration planning for the wider operational scope.

Make repeated events safe to process

Shopify webhooks can arrive more than once or out of order, and delivery is not guaranteed. The integration verifies webhook authenticity, records processed events and queues work so a repeated delivery does not repeat a business action. Failed operations need controlled retries and a visible path for investigation; an uncertain response should be checked before a write is repeated.

Scheduled reconciliation compares current source records with the destination to find missed changes. GraphQL Admin API requests use approved access scopes and account for query cost limits. We document which operations support idempotency and where the integration must enforce its own duplicate protection.

Example: connect an order to warehouse operations

In an illustrative Shopify-to-warehouse workflow, an order event starts a queued job, the integration checks the current order state and maps items to warehouse identifiers. Once the warehouse accepts the request, its reference is recorded. A duplicate event checks that reference before attempting another submission. Later fulfilment updates are mapped back through the approved Shopify workflow.

Missing SKUs, partial fulfilments and cancelled orders go through agreed exception rules. This describes a possible design, not a client outcome or a promise of instant synchronization. The actual flow depends on the warehouse API and order rules.

Budget for operation as well as implementation

Pricing depends on data quality, system count, mapping complexity, historical backfills, update frequency, exception handling and the monitoring needed after launch. We separate the initial build from hosting, third-party connector charges and ongoing maintenance. The handover can include field mappings, test evidence, deployment instructions, alert ownership and a documented way to replay failed work safely.

Admin API credentials stay in protected server-side configuration. Access is arranged through approved app permissions and secure credential handling, not pasted into an enquiry. Describe the systems and desired workflow in the integration enquiry form; compare custom app development if your team also needs an interface to manage the process.

Deliverables

What you receive at handover.

API contract and access map

Confirm available operations, authentication, required scopes and restrictions in Shopify and the destination system.

Data mapping and identifiers

Define record matching, field transformations and conflict rules before records are written across systems.

Transfer and recovery logic

Implement the agreed event or scheduled flow with duplicate protection, controlled retries and visible exceptions.

Reconciliation and runbook

Provide checks for missed or inconsistent records and instructions for safely recovering failed transfers.

Decisions before development

Define the record mapping and the recovery path together.

A practical planning example

An order integration might map the Shopify order identifier to an external order reference, line SKU to an inventory item and fulfillment status back to Shopify. Each mapping needs a stable identifier and an agreed field owner.

Start with one representative record moving through the complete connection. Test an update and a repeated request as well as initial creation. This exposes ownership and recovery questions before the integration processes a larger volume of Shopify data.

Use an external timeout to test the retry behavior after a request may already have succeeded. Compare both systems using their stable identifiers and verify a repeated event does not create another record. Document which errors need manual attention and the information support staff can use to investigate them without relying on unrestricted logs.

What to decide
Choose event-driven or scheduled transfer based on the business requirement. Record duplicate handling, retry limits and the conditions that require a person to resolve an exception.
What to verify
Replay the same input, delay a response and interrupt a transfer. Compare source and destination records, and confirm an operator can identify and recover a failed record without creating a duplicate.
What to receive at handover
Receive field mappings, synchronization rules and an exception-handling guide. Identify the system of record for each entity and the person responsible for failed updates, with examples showing how duplicate requests and recovery are handled.

Implementation checks

From discovery to a reviewed release.

  1. Validate access with sample data

Confirm both APIs support the actual records and operations in scope.

  2. Exercise recovery paths

Test duplicate input, failed requests and delayed events without repeating business actions.

  3. Reconcile the first release

Compare source and destination records and document any exceptions for the operating team.

Questions to resolve before you start.

Get clarity on scope, cost, ownership and the way we work. Your store, its existing systems and the outcome you need shape the recommendation.

Start with your priorities
Share your Shopify store URL, the main problem to solve, your budget range and any launch date. Include the customer journeys that need attention, the apps you rely on and the tasks your team wants to manage more easily. These details help define a useful development brief.
Know what is included
Your proposal sets out the deliverables, responsibilities, review milestones and commercial terms before development starts. Confirm which theme templates, integrations and content updates are included, along with testing and handover. Shopify subscriptions, paid apps and ongoing support should be identified separately so you can compare the full project cost.

What can a Shopify API integration connect?

It can connect approved Shopify data and workflows with systems such as an ERP, CRM, WMS or fulfilment service. Feasibility depends on the APIs, access permissions, data quality and business rules on both sides, which are checked before implementation is quoted.

Do I need middleware or a custom Shopify integration app?

Middleware can suit standard connectors and mappings that the team can maintain. A custom app or service may be appropriate for unusual rules, exception handling or a management interface. We compare the initial build and ongoing operating responsibilities before recommending an approach.

How do you prevent duplicate webhook processing?

The design verifies incoming webhooks, records delivery identifiers and makes repeated business operations safe to retry. It also checks current resource state and handles out-of-order events. Duplicate protection must cover destination writes as well as the webhook handler.

What happens if a Shopify webhook is missed?

Webhooks are paired with reconciliation jobs that compare source records and destination state. Missing or inconsistent records can then be investigated and replayed through a controlled process. Sync frequency, monitoring and recovery ownership are agreed for the business requirement.

How are Shopify GraphQL API limits handled?

Requests are planned around query cost, selected fields and the workload for the store. Queues, sensible batching and controlled retries help manage throttling. The integration checks API responses and business errors rather than treating every completed HTTP request as a successful update.

How do you keep API credentials secure?

Admin API credentials belong in protected server-side configuration with only the approved access scopes. They should not be included in theme code, browser scripts, source control or enquiry messages. Access setup, credential rotation and ownership are documented during the engagement.

What is included in Shopify API integration handover?

The agreed scope can include data mappings, source-of-truth rules, test evidence, deployment notes, monitoring instructions and a recovery procedure for failed jobs. Hosting, third-party subscriptions and ongoing maintenance are identified separately, with clear responsibility for future API and system changes.

Can two systems update the same record?

They can, but each field needs an ownership and conflict rule. Without that agreement, a successful sync can still overwrite the right value with stale information.
